MOBILITY/EXCHANGE APPLICATION PROCEDURES 2015/2016
The Alberta College of Art + Design, in conjunction with institutions from all over the world, participates in a unique
international Mobility/Exchange Program that provides a cross-cultural experience while assisting the students in
attaining their educational goals.
The Mobility/Exchange Program provides the opportunity for students to attend participating host institutions during
their third year of studies. Students remain registered with the Alberta College of Art + Design and pay all applicable
tuition and fees to the College as they would in any other year.
The program is designed to allow students to continue their academic progress and remain candidates for their degree at
the College while attending the host institution. Students may apply to participate in the program for one or two
semesters but must be returning for the Fall semester of their 4th year to maintain their spot in their major.
Participation in the program is based on meeting the College’s academic eligibility criteria, the nature of the agreements
with the host institution, available space at the host institution and the merit of the application and work submitted.
Participation in the program is considered a privilege and at the sole discretion of ACAD.
Students with successful applications will be responsible for obtaining and adhering to the stipulations outlined in the
necessary student visas. Student will also be responsible for all costs incurred while participating in the program including
travel, accommodation and living costs and be able to provide evidence of sufficient funding prior to departure.
Students are required to have a basic knowledge of the language of instruction of the host institution.
APPLICATION PROCEDURES
i. Before filling you application, Check your academic standing and credits online through ACAD Web
Services (i.e. Unofficial Transcript or Holds) to confirm that you are cleared with the academic eligibility
requirements
ii. Obtain a program-check from the Student Advisor’s Office (January or February 2015)
The program-check will verify that you satisfy the academic eligibility criteria. Criteria require that you have a minimum
cumulative grade point average (CGPA) of 3.0 and that you will have met the conditions for academic progress to the
3rd level (i.e. declared major). A Student clearing any of the academic deficiencies in the Spring or Summer
session will not be eligible to participate in the program for the following Fall semester.
Note: The program-check approval will be conditional until the end of the current winter semester at which time your
academic progress will be reviewed. The College will update potential host institutions at this time, as necessary. The
College reserves the right to reassess your participation in the program at any time based on updated academic
information.

The application package will contain:
 Program Application – This application will stay on record at the College and lists the institution(s) to which you are
applying.
 Institution Application(s) – This is the application that will be sent to your selected institution(s). A separate and
unique Institution Application must be submitted for each school to which you are applying.
iv. Choose a faculty sponsor who will:
 Assist you with the development of your application;
 Advise you in selecting a program of study – program information and academic calendars for the participating
institutions are available online via the institution’s website. Please investigate the courses and programs for the
institution(s) you wish to be considered for and consult with your faculty sponsor to assess relevance and suitability;
 Provide a letter of reference.
v. Pay Your Application Fees!
Application fees are payable at the Alberta College of Art + Design cashier.
 $50 – for application to first institution
 $35 – for each subsequent Institution Application (to a total of 3 applications)

A complete application package will contain the following:
 ONE Program Application – which will include:
 An endorsed program-check
 Chair of School’s signature indicating their approval of your application and approval of any
major student requirements you plan on taking at the Host Institution
 A receipt indicating the payment of your application fees

Institution Application (for each institution to which you are applying) – which will include:
 Personal Statement
 Digital Images both Mac and PC compatible (10 – 15) and image list (or other relevant media)
 Passport sized photograph
 Resume / Curriculum Vitae
 Two letters of reference from faculty (including one from your faculty sponsor)
 Official Transcript - This will be provided on your behalf by the Registrar’s office
 Course descriptions of selected courses at the host institution(s)
vii. Submit Your Application Package
FINAL DEADLINE FOR SUBMISSIONS
February 27, 2015 by 4pm to participate in the 2015/16 Academic Year
Submissions are to be dropped off with the Student Academic Advisor in the Student Experience Office.
(Please note that replacement resume, statement, cd and image list for students applying for
Winter semester mobility/exchange may only be accepted until September 4, 2015)
POST-APPLICATION PROCESS
The Student Academic Advisor will:
 Contact the prospective host institutions detailing the interest of students from the College in
attending their institution
 Submit the applications to those institutions with available space
 Contact students regarding the success of their application
Students will:
 Meet with the Student Academic Advisor, Bonnie Mui, ([email protected]) and consult
their School Chair regarding course selection and transferability

Please note: students should not contact their prospective host institutions directly until an offer has been made. This
may disrupt the application process and negatively impact admission decisions.
All Mobility + Exchange participants must attend the mandatory Pre-Departure Workshop in April.
Copies of all forms requested by the host institution must be submitted to the Student Academic Advisor at least two weeks
prior to departure.
Failure to follow the application procedures or any evidence of misrepresentation on any document related to the exchange,
as well as any evidence of illegal acts performed by the student while on the exchange, will result in the immediate cancellation
of ACAD’s support for that exchange and the cancellation of any related credit transfers to the student’s academic transcript.

RECOGNITION OF PROGRAM REQUIREMENTS
It is understood that the student will register in a program of full-time study at the host institution (a minimum of 24 hours of instruction/studio activity per week) and will
complete all requirements as set out by that institution. Upon ACAD’s receipt of an official transcript from the host institution confirming satisfactory completion
of the program of study, ACAD agrees to waive the student’s required major studio courses and studio electives to a maximum of 15 credits per semester
upon approval. [Within these 15 credits, the student may receive specified liberal studies credit only where transcripts confirm the equivalent coursework was completed at
the host institution. Liberal studies courses will be evaluated on a course by course basis upon completion of the Mobility/Exchange Program and upon submission of
detailed course outlines and samples of written work completed.]
Official transcripts must be submitted and approved within the first two weeks of the following semester at ACAD.
Tuition must be paid to the Alberta College of Art + Design at least two weeks before the start of classes, as well as copies of all forms requested by the
host institution submitted to the Student Academic Advisor.

understand it is my responsibility to meet the terms of eligibility and that the host school has sole discretion
in determining acceptance as a Mobility/Exchange student. The Mobility/Exchange Program provides
students the opportunity for short term study at another institution. In this spirit, students may not apply
for permanent transfer to the host school while participating in the Mobility/Exchange Program. I request
that upon completion of my study at the host school a transcript of my completed courses and grades be
sent to my home School and be included in my permanent record. Acceptance as a Mobility/Exchange
student at the host School is conditional on my being in academic good standing at the completion of the
most recent semester of study prior to the Mobility/Exchange semester and meeting all financial obligations
at the Home School.
