Exhibitors must plug in directly to an outlet or use a UL-approved surge protector with a tail long enough to plug in directly to the outlet. If you have questions, contact Miami Valley NARI before move-in to avoid the fire marshal not approving your booth's electric prior to move-in. • NO balloons, inflated or deflated, are to be sold or handed out to attendees. • During move-in you will need to check in at door #1. We will then direct you to the closest entry to your booth. • When arriving on days of the show, exhibitors are to enter through door #1 and check in at the exhibitor check-in desk on the left side of the lobby. Please ensure that your wristband is worn at all times. • All exhibitors must park in the Reynolds and Reynolds parking lot just past the Expo Center on the right. Look for "Exhibitor Parking" signs. A shuttle will be provided to and from this lot. • No exhibitors shall smoke in front of door #1. A designated door on the south side of the Expo Center will be used for exhibitor smoke breaks. Page 3 HomeWorld Policies and Procedures Exhibitors Show Admittance IMPORTANT - Please Make Sure All Booth Staff Read This Notice: Exhibitors and their booth staff must check in at the Exhibitor Check-In located on the left side of the Expo Center lobby. Guests without passes must purchase a ticket. Wrist bands allow unlimited admittance to wearer for that day and will be given ONLY to Exhibitors and their staff. • Avoid inconvenience to you and to your personnel - it is YOUR responsibility to insure that you and your employees have the appropriate exhibitor's wristband (given at check in). • Guards and ticket takers are employed to take tickets and furnish show security. They are NOT authorized to allow or negotiate admission to the show to anyone without the appropriate ticket or wristband given at check in. • Only one person is admitted for each wristband displayed. If friends or relatives come without a ticket or pass they will NOT be admitted. You must make provisions for them ahead of time or purchase a ticket. Exhibitors are allowed entrance to the show one hour prior to the public show hours each day; please check the schedules. For security purposes there can be NO EXCEPTIONS to this rule. Even though there are multiple entrances to the Dayton Airport Expo Center, only one entrance will be open for admittance: Entrance #1 on the floor map or the north entrance. Exhibit check-in is located on left side of lobby. Please inform all booth staff of the show entrances and admittance rules. Exhibitors are not permitted to smoke outside the main entrance to the Expo Center. A specific door on the south side of the building will be utilized for vendor smoking. Payment Deadline - All contracts for space in HomeWorld 2015 must be paid in full by the date indicated on your contract. Payment MUST be received in full to begin move-in. Booth Etiquette - Sharing one building successfully with so many other exhibitors is highly dependent on some simple courtesies and consideration to your neighbors. We have additional staff inside the building to make this process as smooth as possible. Please follow their instructions, parking rules, your assigned move-in times and unloading inside the building with a vehicle is limited to 15 to 30 minutes. Be considerate - do not block others access to their booth. Remember others just like you are waiting to get in. • During the show, keep any sound coming from your booth at a conversational level and contained to the booth and the area just in front of it. Page 4 • All business must be conducted within the confines of your booth space not in the aisles and not walking through the exhibit hall. • Respect your neighbor's access to customers. Control your crowd. Make sure that any person visiting your booth or your staff is not blocking the front of other booths. If you need help with this, contact a member of the HomeWorld Staff at the exhibitor check-in desk. • Door prizes and HomeWorld promotions are designed to generate more attendees for you; therefore, they are limited to paid attendees. Exhibitors and their staff are not eligible. It becomes very awkward when the HomeWorld Staff and/or you have to deal with these issues during the show, so please educate your staff beforehand. We appreciate your assistance and cooperation - thank you! Power Marketing - Your collective efforts can form a far-reaching, powerful network that will multiply everyone's results. HomeWorld will be advertised on local CBS network TV station WHIO-TV Channel 7, K99 FM, 95.3 The Eagle, Newstalk 1290 WHIO, in the Dayton Daily News, Springfield News Sun, JournalNews newspapers and online media. With your help, we can expand this powerful advertising/marketing campaign. Please refer to "How Can You Help Increase Attendance” in this packet. Wristbands - Call the NARI office at (937) 222-6274 to make special wristband arrangements, delivery or to discuss the number of wristbands you need for booth workers. Exhibitor wristbands allow access to the show during all show hours. The following ration of exhibitor wristbands is based on booth size and should be more than adequate to allow you the necessary flexibility in scheduling. To ensure your potential customers have the highest quality experience, we ask that all exhibitors follow the parking policies. • All vehicles used by exhibitors to come to and leave the show each day must park in the Reynolds & Reynolds lot. This lot is located past the Expo Center and to the right. For your convenience, a shuttle will run to and from this lot before, during and after the show Page 5 • Any vehicles, trucks or trailers that will stay at the Expo Center overnight MUST be parked in the grass area across Dixie at the owner's risk. • There is to be NO Exhibitor parking in front of the main entrance or in the parking lots nearest to the Expo Center. Tables, Chairs and Carpet If needed, these supplies are to be ordered from Tradeshow Services. These service charges are in addition to your booth, and should be paid directly to Tradeshow Services. Be sure to order in advance of the show to ensure adequate time for installation scheduling and to avoid surcharges. This can be done by visiting http://www.tradeshow-services.com/Exhibitor/index.html or calling (937) 832-0144. Electric and Wi-Fi - Free 110-electric and Wi-Fi is available in Expo Center. For those exhibitors needing power other than regular 110, please contact Miami Valley NARI by emailing [email protected] or at (937) 222-6274 to make arrangements. Special electric orders must be made prior to move-in. Booth and Display Equipment - 8 foot back drapes and 3 foot side drapes are furnished for each booth. Additional equipment can be rented from the Tradeshow Services by visiting http://www.tradeshow-services.com/Exhibitor/index.html or calling (937) 832-0144. Payment and arrangements should be made directly with Tradeshow Services. Your display should be a minimum of 4” narrower than your booth width. All booth activities and displays must be within your designated booth dimensions. Shipping and Storage - Exhibitors are responsible for their own shipping arrangements. The Dayton Airport Expo Center and HomeWorld will not receive nor store any vendor product, materials or equipment. Signs, Posters and Banners - Signs, posters and banners are only authorized within your booth space. Any use beyond your booth space is strictly prohibited without prior approval. Unauthorized signs will be removed at your expense. Signage is required to be professionally done. NO handwritten or amateur signs will be allowed, as they detract from the professional appearance of the show. HomeWorld reserves the right to remove any unprofessional, obstructive or inappropriate signage. All signs must be removed at the end of the show. Signage on stages and signs or banners hung from the ceiling of the Dayton Airport Expo Center is at the discretion of the HomeWorld Management and requires prior written approval. Smoking - The Dayton Airport Expo Center is a smoke-free facility. Smoking is not allowed in any part of the building. They need to know what you want to accomplish and what they should do to achieve those goals. Define your goals in terms of immediate goals and long term net results. Solicit their input for maximizing predetermined goals. • Make it easy for booth staff to do their job. Do they have the work schedule? An exhibitor's wristband or staff ticket? Have they read all of the exhibitor's information, including rules and regulations? • If you are doing a give-away, be sure that it works for you. Identify what you want to accomplish with the drawing. Find a way to identify good prospects (turn down a corner or place a grading symbol on the entry blank as you deposit it into the entry box.) Preplan how you will manage follow-up with prospects with a mailing list following the show. Cox Media Group Ohio can create a customized plan using your list or targeted demos. Consider including marketing/demographic questions on the entry blank. • Network with the other exhibitors as they can be a valuable source for information or they may be your next customer. Study the other displays to see what might work for your company in the future. • Here is a list of things you are likely to want in your show kit: aspirin, band-aids, sharpened pencils, note pads, business cards, sales materials, tape, wire, Windex, paper towels, stapler (one that opens), Kleenex, hammer, pliers, breath mints, a camera. • Be enthusiastic and have fun. Thousands of attendees are excited to be attending HomeWorld. Let them know that you are happy they are there. First impressions last a long time. • Decide how to present your company or product. Will it be more effective to utilize demonstrations, interactive displays, set a mood, define your style, capture the imagination, create curiosity, play a game, use color or motion, inform and educate or create visual impact? Think outside the box! Exhibitors sitting behind a table with literature are boring. • Design your exhibit space for the best possible results: Does it visually send the right message? Will your display stand out from a distance? Will it create a lasting impression that will still be remembered after the show? Does it set you apart from your competition? • Know when to hire a pro. If designing an exhibit space or planning promotional events is not your strength, or time doesn't allow for proper attention, hire a professional. • Over-staffing your exhibit can be as detrimental as understaffing. People are naturally intimidated when they are outnumbered or have to stand too close to others. • Have you contracted enough space to adequately present your product and to accommodate the crowd? Design your exhibit so people can step into your exhibit space. Once they have stepped into your space, you have earned their trust and that step is a strong signal of their interest. Do not put a barrier between them and your product.
