CALL FOR ABSTRACTS and COMPETITION RULES
SUBMISSION DEADLINE: 5PM MONDAY 9 FEBRUARY 2015
Introduction
The Clinical Oncology Audit Committee is pleased to announce the 2015 Audit Poster
Competition, which will take place during the 2015 Clinical Oncology Audit Conference.
Audit poster abstracts must include the title; background to the audit; standards, indicators and
targets; methodology; results of 1st audit round; 1st action plan and references. Results of 2nd
round and 2nd action plan should be included whenever possible.
Please note that CPD credits (3 for lead author, 1 for each co-author) are awarded for authorship
of posters displayed at this conference. (see Rule 5 (ii))
Submission
1.
Audit abstracts must be submitted using the online Audit Abstract Submission Module:
https://coauditpostercomp2015.abstractcentral.com/ . Please see How to set up an account
and How to submit an abstract .
2.
The first or second named author of a poster must be an active member or Fellow of The
Royal College of Radiologists (RCR) at the time of registration for this event. Please note
that radiographers, physicists and others are encouraged to contribute as authors.
3.
The deadline for receipt of abstracts is 5pm Monday 9 February 2015. Abstracts received
after this time will not be accepted for assessment.
4.
All entrants will be advised by email by Monday 16 March 2015 whether their abstracts
have been assessed as suitable for display at the Clinical Oncology Audit Conference.
5.
All successful entrants displaying a poster must, by Monday, 18 May 2015:
(i)
email [email protected] a pdf, jpg or ppt file of their poster so that the judges
may preview them prior to the date of the conference.
(ii)
must, by Monday 18 May 2015, submit an audit template (based on the abstract but
omitting results) to the RCR online resource Audit Library. However, please note that
the acceptance or otherwise of your template for publication on Audit Library will NOT
affect the result of your poster competition entry.

There is a limit of 1800 characters, including spaces, for the text of your submission.
Authors, institutions, tables, and images will not be counted.
The hospital/Trust named on the poster should be the one named on the submitted abstract,
and should, ideally be where the audit was undertaken.
The author(s) confirm that the poster is their own original work, is not defamatory or unlawful
and does not infringe anyone else’s rights.

All abstracts selected for poster display will be published in Clinical Oncology. The first
named author will be contacted by the publisher for permission.

The submitting author must ensure that he/she has the approval from all co-authors involved
in the work, for copyright of the poster to be assigned to the RCR (see Rule 11).

A pdf of the first and second prize winning posters will be published on the public area of the
RCR web site. A copyright form will be sent to the winning poster authors shortly after the
date of the audit conference. The first named author, on behalf of all the co-authors, must
sign the form, which should then be returned to Ritu Verma at [email protected].

In order for a poster to be eligible for display at the conference, at least one named author
must register for the Clinical Oncology Audit Conference. For more information and to register
for the event, please visit http://www.rcr.ac.uk/content.aspx?PageID=2110. Failure to register
by 17:00 on Friday 12th June 2015 will result in the poster being withdrawn from the
competition.
Posters
13.
Posters must be A1 size (height = 841 mm; width = 594mm) and the orientation must be
portrait (not landscape).

The RCR logo or crest must not appear on posters.
15.
Posters must be put on display at the Audit conference by 10:00 am on Wednesday 17 June
2015.
16.
A4 hand-outs or notes related to your poster may be provided but are not essential. These
should be held in a clear file, attached to the poster board. Conference delegates will have
access to the posters during refreshment breaks. The authors of poster nos. 1 to 8 inclusive
must be available during the morning coffee break, for questions. All other poster authors must
nd
be available during the 2 half hour of the lunch break, by their posters, for questions.
17.
Posters must be removed by 16:45 on Wednesday 17 June 2015. Any posters left after this
time will be destroyed.
18.
The RCR does not accept liability for loss of or damage to posters.
Decisions
19.
Audit poster abstracts will be assessed by members of the Clinical Oncology Audit Committee.
20.
During the week beginning 16 March 2015, all entrants will be notified of the results of their
abstract submission/s.
21.
Posters selected for display will be judged by members of the Clinical Oncology Audit
Committee. The judges will preview the (submitted pdfs of) posters in advance of the meeting.
The winning posters will be announced at the conference on 17 June 2015. Prizes are offered
for posters that attain or exceed a quality threshold determined by the judges.
22.
To avoid any conflict of interest, abstracts will not be scored, nor will posters be judged by
colleagues from their own institution.

The decision of the judges is final.

24.
The winner of the Audit Poster Competition will receive a cheque to the value of £280. The
second prize winner will receive a cheque to the value of £70.
