The following information should answer most questions
you may have when preparing for the upcoming
2015 HEAVY DUTY AFTERMARKET WEEK

Exhibiting suppliers receive two (2) complimentary
full conference badges for each 10’ x 10’ booth
requested. Additional booth personnel registrations
over and above the two included will be charged
$350 per person for member companies or $575
each for non-member companies.

used for customers, guests or any other nonexhibiting personnel.
HDAW CELEBRATES 10 YEARS!!!
2015 marks the 10th anniversary of HDAW! On behalf of
the Conference Organizers, we sincerely thank you for
your support in making HDAW the largest North
American gathering of independent heavy-duty
aftermarket industry leaders.
Exhibiting supplier personnel will be required to wear
badges at all times during set-up, product exposition
days and teardown. Once you arrive at the Conference,
you can obtain the Conference Guide and other
pertinent Conference information at the Registration
Counter.
CHECK-IN
The 2015 Heavy Duty Aftermarket Week will be held in
the Mirage Events Center of the Mirage Hotel & Casino.
Once you have your badge, no further check-in is
required.
CONFERENCE MANAGEMENT OFFICE
The WTG, Inc. Conference Management Office will be
located in the Key Largo Room of the Mirage Events
Center should you require any assistance. The staff of
William T. Glasgow, Inc., Conference Management will
be available to answer any questions.
PRODUCT EXPOSITION HOURS
The Product Exposition Hall is open according to the
following schedule:

REGISTRATION:
Badges and badge holders have already been mailed to
all registered exhibiting suppliers. The last day for
exhibiting suppliers to pre-register in order for
badges to be mailed was January 12.
Any questions regarding your registration should be
directed to Conference Management at 708-226-1300,
extension 19.
At this time, any corrections/additions should be made
onsite at the Registration Counter which will be located
across from the Terry Fator Theater of the Mirage
Events Center.

Exhibiting suppliers are allowed access to the product
exposition floor according to the following schedule:

If you are using an outside contractor to set up your
display, they will be required to obtain work passes from
the Security Desk, which will be located at the front of
the Product Exposition floor. Please instruct your labor
crew to check-in with security at the front of Product
Exposition Hall.
Any exhibiting supplier who plans to conduct meetings in
their booth prior to or after official Conference hours
must submit a request in writing to HDAW Conference
Management or their personnel will be denied access to
the Product Exposition floor.
Absolutely no one under the age of 16 (including
infants) will be admitted to the Conference at any
time. This includes the Product Exposition and
seminar sessions. There will be no exceptions made
to this rule.
BOOTH SET UP
Exhibiting suppliers may set up their booth from 8:00
am- 5:00 pm on Sunday, January 25 and Monday,
January 26.
WE ASK THE COOPERATION OF ALL EXHIBITING
SUPPLIERS TO MOVE ALL MATERIALS INTO THEIR
BOOTHS AND OUT OF THE AISLES BY 5:00 PM ON
MONDAY, JANUARY 26.
Any exhibiting supplier who needs to work late on set-up
days must receive prior approval from Conference
Management.
CERTIFIED WEIGHT RECEIPTS
Drivers will be required to submit certified weight records
when receiving shipments for unloading. FREEMAN
COMPANY reserves the right to refuse to unload such
shipments until a CERTIFIED WEIGHT RECEIPT is
presented. In the event no weight is indicated on
delivery documents presented, FREEMAN COMPANY
shall estimate the weight. If actual scale weight figures
are not submitted prior to the move-out period, the
estimated weight will be final and binding. All shipments
received at the warehouse and show site are subject to
re-weigh.
EXHIBIT LABOR
Teamsters Local Union #631 has jurisdiction through a
labor agreement with the Freeman Companies for the
erection, touch up, dismantling and repair of all exhibits
when this work is done by persons other than your fulltime company personnel. This work is to include wall
coverings, floor coverings, pipe and drape, painting,
hanging of signs and decorative materials from the
ceiling, placement of all signs and the erection of
platforms used for exhibit purposes.
Local #631 jurisdictions do not cover the placement of
your products on display, the opening of cartons
containing your products, nor the performance, testing,
maintenance or repairs of your products.
If full-time company personnel are authorized to set
up an exhibit, they should carry positive company
identification, such as medical identification card or
a payroll stub and present a picture identification
card.
This rule prohibits the utilization of workers hired from a
non-union agency or company. To secure labor, please
utilize the forms included in the Online Exhibiting
Supplier Guide.
FIRST AID
There is no First Aid Room. However, in the event of an
emergency, dial 0 on any house phone in the hotel and
you will be connected with Security who will further
assist you.
EXHIBITING SUPPLIER SERVICE DESK
The Freeman Service Desk will be located in the
Promenade of the Mirage Events Center across from the
Montego Room, and will be open during installation,
Product Exposition days and dismantling for any
services you might require.
MIRAGE TECHNICAL SERVICES DESK
The Mirage Technical Services Desk will be located in
the Promenade of the Mirage Events Center across from
the Montego Room, and will be open during installation,
product exposition days and dismantling for any
electrical, booth cleaning, telephone and internet rental
needs.
BUSINESS CENTER
The Mirage Hotel Business Center is located adjacent to
the Terry Fator Theatre and will be in operation
throughout the Conference. Phone: 702-792-7783
PRESS ANNOUNCEMENTS
We encourage all exhibiting suppliers to notify
Conference Management of any press conferences that
will take place during the Conference. We will post your
announcement on a bulletin board in the Media Center.
Please bring your announcement(s) to the Media Center,
which will be located in the Jamaica B Room of the
Mirage Events Center. The Media Center will be open
Monday, January 26 through Wednesday, January 28.
TRUCK PARTS & SERVICE MAGAZINE WELCOME
RECEPTION
Kick-off HDAW 2015 at the Truck Parts & Service
Magazine Welcome Reception, being held Monday,
January 26 from 5:30 pm- 7:00 pm in the Grand
Ballroom of the Mirage Events Center. All HDAW
attendees are welcome to attend.
BREAKFAST
The HDAW 2015 Welcome Breakfast, sponsored by
Haldex Brake Products, will be held from 7:00 am to
8:00 am on Tuesday, January 27 in the Grand Ballroom
of the Mirage Events Center.
HEAVY DUTY DIALOGUE
Heavy Duty Dialogue will be held in the Terry Fator
Theater on Monday, January 26. Separate registration

SERVICE OPPORTUNITIES & LEARNING DAY
(SOLD!)
Held Sunday, January 25 and Monday, January 26,
SOLD! is an optional education program that targets the
owners and managers of service operations, including
distributors offering service. Attendance to the SOLD!
Program requires a separate registration fee of $250
for an individual registration and $300 for non-member

OPENING GENERAL SESSION/KEYNOTE ADDRESS
The HDAW 2015 Opening General Session will begin at
8:00 am on Tuesday, January 27 with Dr. Tony
Alessandra presenting The Platinum Rule, followed by
the IHS Hall of Fame and Distributor of the Year Awards
Presentation. All will take place in the Terry Fator
Theater of the Mirage Events Center.
ALL-INDUSTRY RECEPTION AND CVSN PINEWOOD
CHALLENGE
All HDAW attendees are invited to attend the All-Industry
Reception and CVSN Pinewood Challenge, sponsored
by Minimizer, being held from 5:30 pm- 7:00 pm in the
Grand Ballroom of the Mirage Events Center.
Entries for the Pinewood Challenge will be accepted until
Friday, January 23.

ONE-ON-ONE BUSINESS MEETINGS
Pre-scheduled One-on-One Business Meetings will be
held in the vendor suites of Mirage Hotel from 7:00 am11:35 am on Wednesday, January 28 and from 7:00 am12:15 pm and 1:45 pm- 5:00 pm on Thursday, January
29.
The One-on-One Business Meeting Information Desk

TRANSPORTATION/PARKING
Parking is available at the Mirage Hotel at no charge.
LEAD RETRIEVAL SYSTEM PICK UP
Lead retrieval machines can be picked up beginning
Monday, January 26 at the Registration Counter located
across from the Terry Fator Theater of the Mirage
Events Center
DISMANTLING NOTICE
All booths must be packed, labeled and made ready
for shipment by 10:00 am on Thursday, January 29.
Please refer to the Dismantling Notice found on the
Online Exhibiting Supplier Guide for your reference.
Please read this information carefully to avoid any
misunderstandings at the break of the Conference. Any
questions can be directed to Conference Management.
IMPORTANT NOTICE REGARDING NON-EXHIBITING
SUPPLIERS AT HDAW
Each year, there are companies who do not exhibit in
the Conference, yet attempt to sell their goods to
customers on the Product Exposition Floor.
Non-exhibiting suppliers who are considering exhibiting
in 2016 have been informed that they are not to
approach distributors at any time.
If you see a violation, we ask that you notify Conference
Management in the Key Largo Room of the Mirage
Events Center IMMEDIATELY.
Conference Management will have security escort these
persons out of the Product Exposition hall and they will
be banned from further entering the Product Exposition
Floor for the purpose of selling the Conference.
