Buffet Terms and Conditions—from January 2015 All prices are subject to VAT at the current rate of 20% • • • • • • • • • • • • • • • For private customers a 20% or £50 non-returnable deposit (whichever is greater) is required to confirm the booking; the terms of the final payment are by arrangement - usually two weeks (one month for a wedding) before the date of the function. Unless previously arranged the minimum order for a self-catering delivered buffet - excluding the cost of any hire, delivery, drinks etc. - is £80 Monday to Friday lunchtime, £120 Monday to Thursday evening and £300 on a weekend or Bank Holiday Delivery – cold buffets are delivered for FREE Monday to Friday lunchtimes in the Maidstone area; however we reserve the right to charge for deliveries made in the evening, at weekends or on orders of less than 20 covers or to an address more than 10miles from our work premises. If you require us to separate the vegetarian, meat and fish items and present them on separate platters there will be an additional charge of £1.00 per head plus VAT – please note that this charge applies to the whole order. Individual dietary requirements – eg coeliac, vegan, lactose intolerant etc can be catered for on request but must be pre-booked. We will present these on a separate platter and label accordingly. There is a £1.00 per head charge for this. Should any of your guests require information regarding the allergen content of any of the buffet items please ask them to contact us directly and we will be happy to provide them with this. Self-catering buffets are freshly prepared, garnished with seasonal fruits and vegetables, presented on disposable platters, cling-wrapped and delivered to you with disposable plates, serviettes and cutlery where appropriate. Your buffet will be delivered in plenty of time for the start of your event and the law currently permits food to be kept at ambient temperature for up to four hours; please note that we are unable to guarantee a ‘timed’ delivery but will arrange an agreed ‘window’ with you beforehand. The minimum number of guests should be advised to us by the date on your booking form, after that numbers may be increased but we do not accept cancellations. It is not Beaubray’s policy to cancel, should it be necessary for you to postpone your event the deposit will be held for three calendar months with the option of one other date being chosen subject to availability; the option to postpone does not apply to Weddings or events booked on a Saturday. Goods are carried in our vehicles in sturdy food-grade boxes, however these are for our convenience and do not form part of the delivery; if for any reason it is necessary for our driver to leave the boxes on site we reserve the right to charge for their collection and/or replacement. China crockery, stainless steel cutlery, glasses and table linen may be hired to enhance your event - details are available on request – please note that our drivers do not carry extras so it is up to you to make sure when placing your order you have listed everything you think you may need, if in doubt please ring to discuss your requirements. We can also provide a collection service for hired goods if required (please ask if you would like a price for this as it is not included), otherwise you should return the goods to our premises before 11.00am the morning following your event (or on a Monday in the case of a Saturday event). All our staff have undergone food hygiene training as recommended by current regulations. We carry full public and employer’s liability. Our kitchens have been inspected and approved by the Maidstone Borough Council environmental health officer. Terms and Conditions for booking a BBQ – from January 2015 Our prices are based on the assumption that your BBQ will be held at a suitable site and that we will be able to park adjacent to the BBQing area. If you plan to hold your BBQ on a site away from our allocated parking place (eg at the bottom of your garden), please discuss this with us before booking so that arrangements can be made for the transportation of the equipment and food as we may need to employ extra staff; there may be an additional charge to cover this but we will let you know before you book. Our prices include disposable plates, cutlery and serviettes and a chef who will cook for about an hour (up to 100 guests) or an hour and a half/two hours (100-200 guests); if you would like us to cook for longer please ask for a quote. A £200 or 20% non-returnable deposit is required to book the function - depending which is greater; the terms of the final payment are by arrangement (usually one calendar month before the date of the event). Minimum numbers should be advised to us by the date on your booking form, after that numbers may be increased but we do not accept cancellations and ‘no shows’ will be charged for. Payment for increased numbers is due before the event. It is not Beaubray’s policy to cancel. Should the weather on the day not be suitable for barbecuing, ie too wet or too windy, we reserve the right to prepare and cook the BBQ in our main commercial kitchen, and serve as a fork buffet at your premises, the final decision will be made between Beaubray and the client a couple of days before your event. The responsibility for providing suitable marquee or indoor cover for the guests is that of the client, Beaubray will provide their own gazebos for the bbq and salad table @ no extra charge. Should it be necessary for you to postpone your BBQ, a minimum of three full working days’ notice is required, the deposit will be held for three calendar months from the original date, with the option of one other date being chosen by the client in consultation with Beaubray, and subject to availability; if it becomes necessary to cancel a second time the deposit will forfeited against costs incurred. Please note that the option to postpone a BBQ does not apply to Weddings or events booked on a Saturday. A minimum spend of £800 before VAT applies on a Saturday during the wedding season (June to September), however it’s worth asking if we will waive this if you are enquiring at short notice and we can fill a last minute cancellation. All dates are subject to availability—please note that an enquiry does not constitute a booking. Only those booked will be catered for—it is not our policy as a company to feed the bar, band, disco or children for free so please include anyone who will be eating on the day in your final confirmed number. And finally - we have never had to cancel a BBQ, so plan and look forward to your event knowing you are in the hands of professionals who will look after you—whatever the weather.
