NCMS 2015 Poster/Media Competition Rules It’s time to start planning for the NCMS 2015 Media Competition to be at the Bellagio, Las Vegas, NV. The poster contest has been expanded over the past few years into something even bigger and better--it isn’t just a poster contest anymore! There is also a media competition for you to display your electronic presentations that have been produced for your security education programs. These media displays will be judged along with the posters, and winning displays will also be awarded ribbons. 1. GENERAL RULES a. Posters and media displays must be submitted by members to their respective Chapter Officers for review and approval for submission to the contest. Virtual Chapter members may submit their posters to the Chapter Liaison for review and authorization to represent the Chapter. b. All poster and media display entries must be received by 23 May 2015. Posters and Media must have the Entry Reference Number clearly marked on the outside of the package. Posters should be mailed to: C. All entries will be on display at the National Seminar. The Chapter Chairs will serve as the judging committee. All Chapter Chairs and representatives present at the June Chapter Chair Meeting are eligible to be judges. The judges will evaluate the posters and media displays on the basis of originality, security message, and graphic concept. The winners in each category will be announced during the Seminar. First, Second, Third Place and Honorable Mention ribbons will be awarded to the winning Chapters for each poster category and media display entry. The attendees at the Seminar will also have the opportunity to select their favorite poster, and it shall be recognized as the “People’s Choice Award.” d. Any poster and media display entries that do not conform to the rules and entry guidelines will be ineligible. Posters should be in good taste and not contain materials that could be considered infringements on any copyrights or trademarks. If the Media Competition Committee Chairperson determines that a poster violates the above requirements, the poster shall be presented to the Awards and Seminar Committee Chairpersons for review and decision, which will be final. e. If the judges believe that an entry has been submitted in the wrong category, they shall make their recommendation to the Media Competition Committee Chairperson. He/she will consider the recommendation and render a decision. Page 1 of 4 f. In accordance with the release statement included on the entry form submitted with the poster/media entries, NCMS may reproduce and distribute the winning entries. NCMS reserves the right to modify winning entries by placing the NCMS logo on the poster/media in a manner that does not detract from the theme of the poster, materials or trademarks. The entry form for the Professional Design Category will specifically include a pledge to continue distribution by the originator on the same terms as before the contest, to preclude price increases as a result of an item winning an NCMS award. g. All Entries are available for pickup and return at the end of the Seminar, and Non-winning entries may be resubmitted in subsequent media competitions. 2. POSTER CONTEST GUIDELINES a. The entry categories are: (1) Member Contemporaneous Design. Contemporaneous category entries must have been used in security awareness programs. (2) Member New Design. New Design category entries must be original designs and may be hand drawn sketches, as well as finished originals. New design category entries, as a minimum, must include a sketch; a written description of the design alone will be ineligible. (3) Professional Design. The Professional Design category is intended for government agencies and companies who have security education of people outside of their agency as a primary mission. Media/Poster Guidelines Rev 11/18/2014 Examples include, but are not limited to: NCIX, IOSS, and NRO. a. Each Chapter may enter up to four posters in each category: Member Contemporaneous and Member New Design. This entry limit also applies to the Professional Design category for each agency or company that participates. b. Participants must designate the category for which the poster is to be judged. The Media Competition Committee Chairperson will review all entries and may, at his/her discretion, re-designate the category in which a poster is to be judged. c. Each poster entry must have a card or label (3” x 5”) affixed to the front of the poster entry with the following information: (1) Title or Identification (2) Category (3) Sponsoring Chapter (not required for the Professional Design category) (4) Entry reference number (file name referenced below) in the following format to be assigned by the Chapter Chair: (Chapter Number, Chapter Name, Category, and Number within Category. Example: 30SonoranNewDesign1) Additionally, each poster must have a document protector permanently affixed to the back of the poster. This is where a copy of the poster contest registration/release form shall be placed. Once this document is placed in the document protector, the protector should be sealed with tape to prohibit the loss or misplacement of the required entry form. Page 2 of 4 d. Recommended poster size is 17 inches x 22 inches. Posters must be mounted on poster board or similar rigid material to facilitate their display. e. A Poster/Media Competition Entry Form must accompany all poster entries. f. A softcopy of each poster must be uploaded to the NCMS SharePoint site by the Chapter Chair within the Chapter Chair Liaison’s section under the 2015 Folder within the National Poster & Media Contest folder by 23 May 2015. Verify that the file name is in the following format: (Chapter Number, Chapter Name, Category, and Number within Category. Example: 30SonoranNewDesign1 or 30SonoranContemporaneous4). For agencies or companies (Professional Design Only) not going through a local chapter, they may submit their softcopy to the Chapter Chair Liaison directly at [email protected]). g. Chapter Chairs shall notify the Poster and Media POC listed above in section b. and cc the Chapter Liaison via email when their entries are mailed and loaded into SharePoint. The email subject shall read: NCMS Chapter Number, Chapter Name, Poster & Media Entry Submission. (Example: 30 Sonoran Poster and & Media Entry Submission). The email should contain the tracking number of the items shipped to the above address listed in section b. and a confirmation that all applicable information was uploaded to SharePoint. The email should also contain the title/identification of the poster(s), in what category the poster(s) is to be entered and the submitting Chapter. 3. MEDIA CONTEST GUIDELINES a. Media entries may include video recordings (See below for file type requirements), CD-Rom presentations, PowerPoint Presentations, Newsletters, etc. If you have specific questions concerning the applicability of your display, contact the Media Competition Committee Chairperson for guidance. All video types can be submitted; however, videos must be in one of the following formats to play at the National seminar Poster & Media Contest Booth: MPEG-4 (.mp4), QuickTime Movie (.mov), MPEG-2, AVCHD, DV&HDV. b. Each media display item must have a card or label (3” x 5”) affixed to it prior to shipping with the following information: (1) Title or Identification (2) Sponsoring Chapter (unless submitted by a professional organization) (3) Entry reference number to be assigned by the Chapter Chair (file name referenced below 3 h) in the following format (Chapter Number, Chapter Name, Category, and Number within Category. Example: 30SonoranMedia1). c. Media entries submitted by Chapters must be submitted along with the entry form to their respective Chapter Officers for review and submission for the contest. Each Chapter may enter a maximum of two media displays. Government agencies and companies who have security education of people outside of their agency as a primary mission (examples include, but are not limited to: NCIX, IOSS, and NRO) may enter only one media display. d. The submitting Chapter, agency or company will coordinate audio-visual Media/Poster Guidelines Rev 11/18/2014 Page 3 of 4 requirements with the Media Competition Committee Chairperson at least thirty days in advance of the National Seminar. The submitting Chapter, agency or company is expected to provide the necessary equipment needed to display the media in order to defray Society costs unless the National Seminar Committee already has the needed equipment available at no additional charge. title/identification of the poster(s) and in what category the poster(s) is to be entered and the submitting Chapter. e. A Media Competition Entry/Release Form must accompany all media entries. This entry form must contain the request for media equipment. f.
