To service our programs in a more organized manner, all events will have to be approved before any communications are sent out to advertise the activity. An event planning sheet has been developed by Fr. Paul and the rest of the staff. It is a wonderful thing to have a thriving parish community but we want to make sure that your event space is actually available and that the appropriate individuals have been notified. It is very important, not only to schedule your event with Angela, in the school office, or Quenia in the parish office, but also to begin filling-out the Event Planning sheet that will accompany your Event. ***Event planning sheets are available in the parish office and on our Holy Spirit website: www.holyspirit-indy.org If you need to use the kitchen, then Jill Baker, the kitchen manager should be consulted, by you, prior to your event. Jill needs to go over the refrigeration situation and provide kitchen safety training to help your event be the most productive & cost effective! *This process should be planned well in advance of your event! THE FOLLOWING NEW PROCEDURE IS FOR EVERY TYPE OF EVENT: 1. Schedule event in the Parish/School software through Quenia Rodriguez, Parish Office or Angela Hurst, School Office. 2. Fill out an Event Planning Form and then obtain the appropriate approval. Contact the Parish or School Office for this form if you don’t have one. The Event Planning Form must be filled out & approved by one of the following individuals prior to your event: Fr. Paul Koetter; Rita Parsons; Suzanne McLaughlin; or Kathy Peacock. Allow several days for approval, as all events may be discussed at staff meetings to ensure there are no conflicts. Please do not advertise an event or schedule it in the bulletin, send out emails or flyers until it has been approved by one of the individuals listed above. If the event involves money, reimbursements or check requests, please see the Business Office for cash handling guidelines. If you should have any questions about whether or not your event is included in the Event planning as outlined above, please call or email Kathy or Suzy at the business office and we will be happy to answer all of your questions and help you through this process! Examples of events that need an Event Planning Form include but are not limited to: Pizza Sales, Fundraising Breakfasts, Jeans Days, CYO Coaches Appreciation Parties, Bible Studies, Retreats, Holy Day celebrations, Stations of the Cross or other Holy Day celebrations, Car Washes, Quinceaneras, & Weddings.
