Duties and Responsibilities:
Within the assigned unit and delegated authority and under the direct supervision of the Programme
Officer Assistant, the Senior Programme Assistant (pipeline) will be responsible for the following
duties:
Pipeline Management
 Provide support to the pipeline officer in tracking all food shipments coming to WFP Syria
through shipping updates (contained within booking confirmations, sailing advices, shipping
bulletins and port reports).`
 Provide support to the pipeline officer in updating the upstream/downstream and pipeline
reports on a weekly basis based on the latest shipping information.
 Support the pipeline officer in preparing the pipeline brief for the weekly pipeline coordination
committee meeting and act as minute taker during the meeting. The senior pipeline assistant is
then to send out and follow up on meeting actions points with relevant focal points.
 Provide support to the pipeline officer in preparing funding proposals as and when requested.
 Under the supervision of the pipeline officer, ensure timely submission of import parity forms
upon grant confirmation based on funding proposals/pipeline shortfalls.
 Upon import parity form approval, provide support to the pipeline officer in preparing and
submitting assignment plans.
 The senior pipeline assistant is to track all assignment plans from the time of submission to the
creation of POs and report on any discrepancies.
Funds Management
 Monitor the level of unassigned funds through the weekly grant balance report and inform the
pipeline officer of necessary actions to take so as to ensure grant deadlines (TODs/TDDs) are
met.

Provide support in monitoring the overall project expenditure level and liaise with finance and
logistics colleagues on actions to be taken with regards to surpluses/shortfalls in associated
costs.
Other
 In close coordination with the REC Resource Management Unit, act as pipeline focal point in the
absence of the pipeline officer.
 Provide support to the pipeline officer in preparing the weekly supply chain management
operational meeting agenda and in taking minutes during the meeting.
 Perform other duties as required.
Qualifications:
Education: Secondary school education, preferably supplemented by courses in human resources,
public administration, transport, development economics or other related field.
Experience: At least five years of progressively responsible experience, of which at least one year was
closely related to programme functions.
Language: Fluency in both oral and written communication in English and Arabic.
Knowledge: Training and/or experience utilizing computers including word processing, spreadsheet
and other software packages.
